West Sound Soccer Academy is a nonprofit organization dedicated to providing high-quality, affordable soccer opportunities to youth in our community. Because our operating costs, including league fees, insurance, uniforms, and field rentals are incurred in advance, WSSA maintains a structured refund policy to ensure fairness and financial sustainability.
General Policy
Player registration and team fees are generally non-refundable, except under the circumstances outlined below.
All refund requests must be made in writing to the WSSA Treasurer.
Refund Eligibility

| Withdrawal before first official team practice | Full refund minus 3% of the team fee | 3% covers our payment processing costs. |
| Withdrawal within two weeks of first practice | 75% refund minus 3% of the team fee | Player has minimally participated and most variable costs have not yet been finalized. |
| Withdrawal after two weeks of team practices | No refund | By this time, most costs are committed (league registration, insurance, etc). |
| Medical withdrawal | Prorated refund or credit | Must include medical documentation. Reviewed case-by-case. |
| Cancellations by WSSA | Full refund or credit | Applies only if WSSA cancels the entire team, program, or season. |
| Weather or facility closures | No refund | WSSA will make reasonable efforts to reschedule, but refunds are not issued for weather-related cancellations. |
Uniforms and Equipment
Uniform fees are non-refundable once orders have been placed. Players who withdraw after uniform purchase will still receive their uniform.
Special Circumstances
Refund exceptions for family emergencies, relocation, or financial hardship may be reviewed by the WSSA Board on a case-by-case basis. All refund decisions are final.
How to Request a Refund
Requests must be sent to the Treasurer and include:
- Player’s name and team
- Reason for withdrawal
- Supporting documentation (if applicable)
Refunds will be processed within 3–4 weeks of approval.
